Terms, Privacy & Consents
Black Belt Dojo is the software your dojo uses for check-in, belts, schedules, messages, billing, waivers, and training tools. It is made by Elite Studio Software ("we", "us"). Your classes, fees, waivers, and membership are between you and your dojo; this document covers the software and how we look after your information.
This is one document with one signature. Sections 1 to 5 and 8 to 14 are the terms for using the software. Sections 6 and 7 come with four Yes/No questions, each answered right where it is asked. Each one is your choice: answering No never changes your membership or your classes, and you can change any answer later at the front desk or in the app. For a student under 18, a parent or guardian answers and signs.
1. Agreeing
You agree to these terms when you sign them on a dojo tablet, in the Black Belt Dojo app, or on a signing link, or by using the software after they are shown to you. If you sign for a child, you confirm you are the child's parent or legal guardian and agree for the child too.
2. Your account
Keep your username, password, and sign-in codes to yourself; you are responsible for what happens under your account. Keep your contact details current, since codes and links go to them. Parents and guardians linked by the dojo can see their children's records. The dojo can close an account that is misused or no longer enrolled.
3. Signing electronically
We may give you agreements, notices, and records electronically, and your electronic signature (drawn on a screen, typed, or a saved signature you apply yourself after signing in) counts the same as a handwritten one. You can ask the dojo for a paper copy of anything you signed, or tell the dojo in writing that you prefer paper from then on. A saved signature is stored encrypted and is only applied when you, after a fresh sign-in or texted code, tap to place it in a specific box; each use is recorded with the date, time, device, and network address.
4. Using the software and the app
Please do not try to open other people's records, interfere with the software or the dojo's tablets, send abusive or unlawful messages, upload anything you have no right to, or copy or reverse engineer the software. We give you a personal, revocable, non-transferable license to use the Black Belt Dojo app on your own devices for training with a dojo that uses it. The app may ask for the camera and motion sensors (only when you start a practice session, to work out your movement points on the phone), notifications, and the network; you can switch each off in your phone settings. The app depends on your dojo's subscription. If you got the app from the App Store or Google Play, that store is not a party to these terms and does not support the app.
5. Practising on your own with the app
Martial arts practice carries a risk of injury wherever you do it, and when you practise with the app there is no instructor in the room. You practise at your own risk, and you agree to these safety points:
- Your space: practise on a level, non-slip floor with plenty of clear room, good light, and nothing to trip on or hit; away from stairs, furniture edges, glass, pets, roads, and water. The app cannot see your surroundings and does not warn you about them.
- Your body: warm up, know your limits, and stop if you feel pain, dizziness, faintness, chest discomfort, or shortness of breath. Check with your doctor before starting if you have a health condition, an injury, are pregnant, or are new to exercise. The app's feedback is a practice aid, not medical advice and not a substitute for an instructor.
- Screens, flashes, and sound: like any screen, the app can cause eye strain, headaches, or dizziness, so take breaks. A small number of people can have seizures from flashing lights or moving patterns, even with no history of seizures; if you or your child feel dizzy, see flashes, twitch, or lose awareness, stop at once and see a doctor. Keep the volume at a comfortable level.
- Children: a child practises with a parent or guardian present, and the adult decides what is safe for the child.
- Your devices: you are responsible for your phone, tablet, and the space you practise in.
To the extent the law allows, you accept these risks and release Elite Studio Software, its owners, staff, and licensors from claims for injury, illness, or property damage arising from practising with the app, except for gross negligence, willful misconduct, or where the law does not allow a release. Nothing here limits rights the law gives you that cannot be waived. If you sign for a child, you accept this on the child's behalf and agree to supervise the child's practice.
6. Text messages (question 1)
Black Belt Dojo sends texts on behalf of your dojo to the mobile number you give the dojo, if you answer Yes to question 1.
- One-time codes when you sign in on the dojo tablet, the app, or a signing link. One text per code; codes expire in 10 minutes.
- Signing links when the dojo sends you a document to sign on your own phone.
- Dojo notices such as class changes, closures, and belt test dates, if your dojo turns them on.
If you answer No, we still send a one-time code or a signing link when you ask for one on that screen, and nothing else.
- Message frequency varies: one text per code or link you request, plus dojo notices as the dojo sends them.
- Message and data rates may apply.
- Reply STOP to any message to stop, or tell the front desk. Reply HELP for help, or email [email protected].
- Agreeing to texts is not a condition of membership or purchase.
- Carriers are not responsible for delayed or undelivered messages.
- We never sell or share your number.
We keep the date, time, device, and network address of your answer so we can show carriers you asked for texts.

7. Training video and progress tracking (questions 2 to 4)
Black Belt Dojo can film your techniques so your instructor can show you exactly what to fix, and can track your progress over time. For a student under 18, the parent's or guardian's signature also lets the child have their own account in the Black Belt Dojo app.
Question 2: training video at the dojo
Your instructor may film you doing a technique with the dojo's training cameras. The video is turned into movement points, a stick figure of your joints, so the app can compare your form with the reference technique.
- What is kept: the video clip, the movement points, what was said during the take, the technique name, your belt, and the date.
- Who sees it: your instructors, and Black Belt Dojo to run the coaching tools. A good take may be shown to other students at your dojo as a stick figure or an animated character, never as your video, unless you say so separately.
- Never: sold, used for advertising, or shared outside your dojo, Black Belt Dojo, and the cloud services that process it for us. The movement points are not used to identify you.
- How long: while you train here and up to three years after your last filmed session, then deleted. Ask the front desk any time and we delete it sooner.
[[answer:recording]]
Question 3: practice at home with the app
The Black Belt Dojo app can watch you practise with your phone's camera and tell you whether a move was done right.
- The phone works out your movement points on the phone itself. No video and no photos of you are saved or sent anywhere. The app only sends the movement points, the technique you tried, your score, and the date.
- Your instructor can see your scores and a stick-figure replay, not video.
- Kept while you train here and up to three years after your last practice session, then deleted. You can delete sessions in the app at any time, and turn the camera off whenever you like.
- Practise safely: clear space, good light, a level floor, and an adult present for a child. The app cannot see your surroundings. The safety points in the Terms, Privacy & App License apply, and if you feel unwell, see flashes, or get dizzy, stop.

Question 4: help improve the coaching (optional)
The coaching gets better as it learns from many students' movements. If you say yes, Black Belt Dojo may use your movement data, with your name, face, video, and voice left out, to improve its technique models and reference library for every dojo that uses it. It is never sold or used for advertising, nobody tries to work out who you are from it, and you are not owed payment for it. Change your answer to "No thanks" at any time: your data stays out of new training and your stored movement data is deleted within 30 days.

About your movement data
Movement points taken from your body may count as biometric information in some states. We collect them only with your written answers above, use them only for the purposes you chose, never sell or lease them, and delete them on the schedules above.
8. Payments
When your dojo turns on payments, Stripe processes them under the dojo's own account; we do not store card numbers. Refunds and billing questions go to the dojo.
9. What we keep about you
- Your profile: name, username, email, phone, birth date, roles, address, emergency contact, and for students the allergies and medical notes the dojo records.
- Your training: check-ins, attendance, belt and rank progress, hours, instructor notes, private lessons.
- What you signed: the documents, the signature or initials you drew, the date, time, device, network address, how you signed in, and a saved signature if you keep one (encrypted).
- Messages: Message Center mail and website enquiries, stored encrypted.
- Photos: a profile picture and an action picture if the dojo takes one on its tablet.
- Training video and movement data: only with your answers to questions 2 to 4 below.
- Technical: IP address, device and browser type, app version, tablet identifier, pages used, error reports.
10. How we use it and who sees it
We use your information to run your dojo (attendance, progress, schedules, billing, messages, waivers), to keep a reliable record of what you agreed to, to coach you against reference techniques, to improve the coaching only from movement data you chose to share, for security and audit, and for texts and emails you asked for. We do not sell personal information and do not use it for third-party advertising. It is seen by your dojo's owners and instructors, by linked parents for their own children, by Elite Studio Software staff for support under confidentiality, by the services that run the platform for us (hosting, Stripe for payments, Twilio for texts, email delivery, address checking, and cloud computers that process training video and improve the coaching models), and by authorities when the law requires. Each dojo's information is kept separate. The animated characters in the app are Elite Studio Software's own creations and are not based on any customer.
11. Movement data, children, and how long we keep things
Movement points taken from your body may count as biometric information in some states. We collect them only with your written answers to questions 2 to 4 below, use them only for the purposes you chose there, never sell or lease them, and delete them on the schedules in section 7 (and in any case within three years after your last visit, or sooner on request, unless the law requires longer). Children never sign; a parent or guardian does, and a child uses the app only with the parent's answers below. We do not text children. Signed documents and their records are kept for as long as you have a record with the dojo and at least seven years after your membership ends (for a child, until at least age 21). Training records and messages are kept while you are a member and afterwards as your dojo requires. A saved signature is deleted when your record closes or when you ask. Technical logs are kept up to 13 months. Messages, saved signatures, and temporary passwords are encrypted; the audit trail cannot be edited; signed PDFs are hash-checked.
12. Your choices
Ask your dojo, or email us, to see, correct, export, or delete your information (signed documents are kept as records but no longer used). Withdraw any consent (texts, training video, app practice, helping improve the coaching) at any time through your dojo or the app without affecting your membership. California residents have the right to know, delete, correct, and not be treated differently for using those rights; we do not sell or share personal information for cross-context advertising.
13. Ownership, availability, and liability
Black Belt Dojo, its software, designs, characters, animations, technique library, and models belong to Elite Studio Software or its licensors. We work to keep the service available but do not promise it will be uninterrupted or error free; we may change the software and these terms, and material changes come with a new effective date and a new signature. The software is provided "as is". To the fullest extent the law allows, Elite Studio Software is not liable for indirect, incidental, special, or consequential loss, or for injuries during training, which are between you and your dojo under the dojo's waiver. Where liability cannot be excluded, it is limited to the amount you paid Elite Studio Software, if anything, in the twelve months before the claim.
14. Governing law and contact
These terms are governed by the laws of the state where your dojo is located. Elite Studio Software (Black Belt Dojo): [email protected]

Text messages and your mobile number
Black Belt Dojo sends text messages on behalf of Merafuentes Martial Arts Center. Every message is transactional, is sent only to a mobile number its owner gave the School, and names the School. We send these kinds of texts:
- One-time codes (6 digits, expire in 10 minutes). A check-in code when an existing customer enters their mobile number on the School's tablet and ticks the consent box; a sign-up code when a new or trial customer gives their number on the tablet; a password reset code when someone chooses "Forgot password?" on the School's website; and a confirmation code the first time an account holder signs in with a mobile number that has never been confirmed. One message per code requested.
- Free trial class. When a visitor books a free class and gives a mobile number, we text a confirmation of the booking, a reminder the evening before, and a reminder the morning of the class. When the School books the class for them, we may also text a link to sign the short trial waiver.
- Documents to sign. When the School sends a member a membership agreement, waiver or other document to sign on their phone, the link arrives by text (one message per document request, good for 7 days).
- Tuition and membership notices. Members who pay the School through Black Belt Dojo may be texted when a payment did not go through, a card on file is expiring or needs updating, a late fee applied, their bank asks them to confirm a payment, or their membership is ending. These texts are sent only when the event happens.
- Owner message alerts. School owners and staff who tick the text-alert box on their own profile receive a text when a new message arrives in their Message Center, including a question sent from the School's website and a free trial class booking. The text names the sender and subject only. Frequency varies with the mail they receive.
Message frequency: varies. One text per code or document requested; trial confirmations, reminders and tuition notices only when the event happens; owner alerts one per new message. No marketing texts, ever.
Message and data rates may apply depending on your mobile plan.
To stop: reply STOP to any message and you will not be texted again (owners can also untick the box on their profile). For help: reply HELP or email [email protected], or contact Merafuentes Martial Arts Center at 209.549.2482 ([email protected]).
Consent to receive texts is not a condition of membership or purchase. Carriers are not liable for delayed or undelivered messages. We never sell or share mobile numbers or text-message consent with third parties for their marketing.
